E-commerce Warsaw Expo is at EXPO XXI on 23 October. Before adding cleverer ways to buy, follow one Magento order through export, packing and tracking. Check that the warehouse receives the right details and the customer gets a delivery date your team can meet. It's easy to get caught up in how a customer finds a product or how a new buying assistant gets through checkout. But the customer still expects the right item, a believable delivery date and a way to find out where the parcel is. An impressive checkout followed by “we'll email the warehouse” is a fairly short magic trick.
Follow one test order all the way through
Place a test order with two products, one awkward shipping option and a discount. Then follow it through the systems your team actually uses.
Does the order reach the warehouse or 3PL with the correct line items, address, tax, shipping method and discount? Does the receiving system acknowledge it? Can someone tell when the export failed without waiting for a customer to ask? Next, look at the first customer-facing message. Does it say what was ordered and set a delivery expectation your team can defend? What belongs in a Magento order hand-off check?
An order hand-off check compares the same order in Magento, the receiving warehouse system and the customer's messages. Use the order number to keep those records together. “It exported” is a starting point, not the result.
Check the selected product SKU and quantity against what the picker sees. For products with options, make sure the choice survives the export. A parent product name without the selected size leaves somebody to guess beside a shelf. That's an expensive place to discover a naming problem.
Then check the address and shipping service. Look for apartment numbers, international characters and any delivery instructions your workflow supports. Agree which system owns corrections, so an amended address in Magento doesn't sit beside an unchanged warehouse record.
Finish with the result coming back. Record whether the receiving system acknowledged the order, whether failures are visible to the team and whether shipment details return to the right order. Try a failed export in a test environment too. Don't deliberately break a production integration to make the exercise more exciting.

How should delivery updates match the checkout promise?
Delivery updates should describe the same service the buyer chose, with a clear explanation if it changes. Compare the product page, checkout, confirmation email and tracking page for one order. A tracking number doesn't repair a promise that was wrong before payment.
Check an order close to your dispatch cutoff as well as an easy morning order. Read the wording as a customer would: “dispatches tomorrow” and “arrives tomorrow” are different promises. Make the difference visible without sending shoppers to a page of small print.
For an exception, decide who contacts the customer and what that message needs to say. A delayed item needs a useful next step, not another automatic “your order is important” email. If the parcel hasn't reached the carrier, say what your team knows rather than treating a created label as a completed delivery.

Keep that test in the acceptance checklist for a new checkout, not in the list of jobs to revisit after launch.
